Information We Collect

  • Business contact information — name, email address, phone number, and business name provided when you sign up or contact us.
  • Website usage data — IP address, browser type, pages visited, and cookies used to improve the site experience.
  • Call data — information processed through your AI receptionist, including call recordings, transcripts, and caller details, used to deliver the service.

How We Use Your Information

  • Provide, maintain, and improve the Flowave service.
  • Communicate with you about your account and support requests.
  • Process calls through your AI receptionist and deliver call summary notifications via SMS (see SMS Program section below).

SMS Program — AI Call Summary Notifications

Program name: Flowave Call Summary Notifications

Who receives messages: Only the Flowave customer (the business owner who subscribes to Flowave). We never send SMS messages to your customers or any other third party.

How consent is collected: Consent is obtained through a signed service agreement during onboarding. Flowave retains signed service agreements as the record of consent. The following disclosure is presented at signup:

“By providing your mobile number, you agree to receive automated SMS call summary notifications from Flowave about calls handled by your AI receptionist. Message frequency varies with call volume, typically 5-20 messages per day. Message and data rates may apply. Reply STOP to opt out, HELP for help.”

Opt-out: Reply STOP to any message to unsubscribe. You will receive a confirmation and no further messages will be sent.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes.

Supported carriers: AT&T, Verizon, T-Mobile, US Cellular, and major regional carriers. Carriers are not liable for delayed or undelivered messages.

Data Sharing

We do not sell your personal information. We share data only with service providers (such as Twilio, Retell, and Neon) as necessary to deliver the Flowave service.

SMS opt-in data and mobile numbers are shared only with Twilio (our SMS aggregator) for the sole purpose of delivering messages recipients have consented to receive, and are not shared with any other third parties for any other purpose.

Data Security

We use encryption, access controls, and industry-standard security measures to protect your information. No method of transmission or storage is 100% secure, but we take reasonable steps to safeguard your data.

Data Retention

We retain customer data for the duration of your active Flowave subscription plus 90 days after account closure, after which the data is deleted from our production systems. Backups containing historical data are retained for up to 180 days before being purged. Call recordings and transcripts may be retained for shorter periods based on customer configuration. You may request earlier deletion of your data at any time by emailing carter@flowaveai.com.

Your Rights

You may request access to, correction of, or deletion of your personal information at any time by emailing carter@flowaveai.com.

California Privacy Rights

If you are a California resident, you have additional rights under the California Consumer Privacy Act (CCPA) and California Privacy Rights Act (CPRA), including the right to know what personal information we collect, the right to request deletion of your personal information, the right to correct inaccurate information, and the right to opt out of the sale or sharing of personal information. Flowave does not sell personal information and does not share personal information for cross-context behavioral advertising. To exercise your rights, email carter@flowaveai.com. We will respond within 45 days.

Children’s Privacy

Flowave is a business service intended for use by companies and their authorized representatives. It is not directed at children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has provided us with personal information, please contact carter@flowaveai.com and we will delete it.

Changes to This Policy

We may update this policy from time to time. Changes will be posted on this page with an updated effective date. For material changes, we will notify you by email.
